New Features in TOM 8

Project & Offer templates

Declare any project incl. sub-project as a template and use this to generate a repeating project with one mouse click (activate or deactivate specific options: target languages, price, sub-projects etc.).

Print to WORD (option)

Design your own layouts in MS Word, and print your offers, invoices, correspondence the way you want.

Integrate interpreting jobs more efficiently

Specific forms and templates for interpreting assignments, & offers; record time, place, price and technical information and use it in offers, order confirmations and P.O.s . Times (also covering several days of service) can be calculated conveniently and used in invoicing. Recording of specific prices such as daily fees and other information in Translator profile.

Standard phrases

Create any number of frequently used bits of text in a central table and use these to enter text quickly during project management and correspondence.

Include Source language in sub-project

Any source language set in the main project is now automatically transferred to each sub-project, but it can be edited there if needed! This gives greater flexibility to your project management.

Additional invoice text for each sub-project

Add invoicing information to the client in a new field which appears underneath each invoice item or order confirmation item (hidden in sub-project itself).

Miscellaneous new sub-project features

A summarized P.O. for translation can now be sent out as e-mail text. A "Misc.Orders" P.O. can now be sent out as e-mail text. An order confirmation can now be generated for a specific sub-project (template in User settings!).

Enhanced invoice information and processing in project

View and print all invoices to a project (in case of partial invoices). Check the payment status of the invoice in the project (project highlighted if unpaid).

Enhanced Search functions

Included the option of limiting the search to the already listed records (before: all in the database), or target it to those NOT listed. In "reversed search" you can find records NOT matching the entered criteria. In Project Management you can now search in sub-projects directly, e.g. to create reports on the quantity of words translated in a certain period and target language.

Selection / highlighting records in lists

Use the common Windows shortcuts (Shift + Click, Ctrl + Click) to hightlight several records. Currently selected records are now highlighted.

Processing of Translator invoices improved

Sub-project items now no longer disappear from the list after they have been calculated - only after the invoice item has been created.

Create reminders for several outstanding invoices

A list in each client's profile shows a list of outstanding payments. Print this to MS Word using the reminder template in User Settings.

Exporting data

Exporting of all contact (address) information now has been centralized in a new "Communication" module (circulars etc.). Distribution lists can be saved for subsequent use. The "Export format" screens defining the field order are now located in this new module as well. Entry of field names enhanced.

Appointments and Deadlines for the day on program start

With this option activated in User Settings, TOM will show the Daily Calender view each time you start the program.

Start window: Open Offers / Tracking of unresponded offers

Switch between the Current Project view and Offer view in the Start screen. The Offer view will display unsent offers as well as such that have been unreplied to by the customer for a certain number of days, which you can define in user settings.

OFFERS - Miscellaneous

Duplicate single offer items. Shift offer folder to new project folder automatically. Go to client from offer. Include Expansion factor when creating offer items using TOM Count.

Clients/Contacts

Add to distribution list. Define priority contacts from among client staff e.g. as recipients of circulars etc. Log date and type of last modification. Information fields for each phone/fax no. and e-mail address. Second fax no. Enhanced layouts.

Translators

Languages: Record any number of working languages for a translator or agency (only nine so far). For each language, add details such as active/passive, mother tongue, certification or interpreting competence. New category "Interpreter", new status "Deactivated" - these categories and functions are highlighted, and can be used to filter lists. Information fields for each phone/fax no. and e-mail address. Recording of typical interpreter details (daily fees etc.). Log date and type of last modification.

Auto-assign e-mail to project using project no. in Subject line. Drag & Drop files to include as attachments

You can now create and manage entire communication projects including distribution lists, contents of your newsletters etc. from one module in TOM.
